Aim
Here at West Ruggers Green our aim is to provide eco-friendly parties for up to 12
children, aged 8yrs and over, whilst helping to support ancient woodland regeneration.

The parties run from 10am – 1pm or 2pm – 5pm. From as little as £120 for a 3 hour party!

Welcome
On arrival at West Rugger’s Green there will be a short introduction and safety
briefing. Woodland rules and expectations will be explained and a tour of the boundaries
will be given.
With 8 laser tag guns we are able to welcome up to do 12 children to each party.
Children are split into teams, 3 being the maximum number, this allows for three
games of laser tag to start the day (possibly more depending on time!)
Whilst the first two teams play the 3rd team will be busy building a base camp. Then,
teams are rotated so everyone gets the opportunity to build a camp.
At 11 a.m. there is time for drinks and snacks (to be provided by parents) before the
next round of games.
At this point if cooking on the fire then now is the time to start preparing lunch. At
12pm there will be lunch, usually sausages in rolls or bread, s’mores and cake before
final individual play from 12:30 till 1

What do we, the parents, need to provide?

You will need to provide….
You will be expected to provide food, drinks and cake, plus a knife for cutting the cake.
If you wish to bring seating you’re more than welcome but there are log benches
around the fire.
If using cups, plates and utensils, we are able to provide eco-friendly alternatives at
the cost of 50p per child in keeping with the ethos of West Rugger’s Green.
We will provide cooking utensils the marshmallows, digestives and skewers for s’mores.
We expect an adult to child ratio of 1 : 4, so 12 children would require 3 adults for
supervision.

Please do not bring balloons into the Woods as they will not last long in the trees and
brambles and create tears and litter.

Invitations and Party Bags

We provide invitations but we are also able to provide party bags. We are able to
produce personalised eco-friendly party bags for £3 per child or if you prefer you bags
without names they are available at £2.50 each.
If you require personalised bags will require the names of all the children invited to
the party at least 2 weeks prior to the event. The birthday child will also receive an
extra gift.
If you require un-named party bags please provide numbers of guests attending no
later than one week prior to the event.

All children should wear appropriate outdoor clothing and footwear. In the summer
months trainers are ok but boots are preferable as the ground is uneven with trip
hazards.
All parents/carers must sign and return the disclaimer attached to the invitation.
These will be collected at the beginning of the party. Children without a signed consent
form will not be able to take part
Cancellation
In exceptional windy Weather it may be necessary to cancel stroke postpone a party
for safety reasons. In the event of this happening we are able to either refund the
full cost or rearrange the party for another day.

A 50%, non-refundable, deposit needs to be paid in full one month prior to the party. The remainder
needs to be paid in full two weeks prior to the party.
(In the highly unlikely event the party is cancelled by West Rugger’s Green a full refund will be given)
On receipt of the booking form we will confirm availability and costs within 7 days.

Small Print!
Whilst every effort has been made to ensure the woodland site is as safe as possible there is always
a risk of injury when playing in the woods from trips, falls, injuries from sticks and even the possibility
of falling branches/trees.
By booking a party at West Rugger’s Green you are accepting there is a risk and are happy to take full
responsibility for any injuries sustained.

GDPR – We will only use data provide to contact you re your party we will not share your data with
third parties. The consent forms will be held by us for seven years post party, then destroyed as
confidential waste.
